We are aware that there are a number of Data Broker jobs that are not completing as expected, which may result in financial information not updating as expected. Our internal teams are aware of this and we are reviewing to determine the cause.

Default Request: New Client Onboarding

The New Client Onboarding workflow is a five task process that is resolved once all needed paperwork for the new client has been submitted to Compliance and the Custodian, your internal systems have been updated with the changes, and all five tasks have been tagged as completed.

Team Roles required in Workflow: Advisor

Step 1: 

First task is created, called "Create Internal Documents and Compliance", and it is assigned to the Team Role: Advisor. It is expected the Advisor creates and completes all required internal and compliance documents based on internal processes.

  • Task one is due one day after the New Client Onboarding request is created.

Step 2: 

Second task is created, called "Create External Documents", and is assigned to the Team Role: Advisor. Based on the request, the Advisor is expected to put together the needed documents and documentation required by the Custodian to onboard the client.

  • Task two is due one day after the "Create External Documents" task is created.

Step 3:

Third task is created, called "Deliver to Client", and it is assigned to the Team Role: Advisor. No matter the means, electronically, via mail, or as an in-person conversation, based on the needed documentation, there is a task here to included to confirm the requirement and receipt of the paperwork by the client for the new relationship.

  • Task three is due one day after the "Deliver to Client" task is created.

Step 4:

Fourth task is created, called "Submit Documentation to Compliance and Custodian", and it is assigned to the Team Role: Advisor. This task reminds the Advisor to send the completed paperwork to their compliance team and the custodian.

  • Task four is due seven days after the "Submit Documentation to Compliance and Custodian" task is created.

Step 5:

Fifth task is created, called "Update Internal Systems", and it is assigned to the Team Role: Advisor. This task reminds the Advisor to update the CRM and other internal systems with the new client information information. Once confirmed that all five tasks are completed, the Request status will update to Complete.

  • Task five is due 10 days after the "Update Internal Systems" task is created.

 

Here is a list of the default fields that are included in the Request, as well as they type of information that is needed in each field. It is possible, as a System Administrator, to customize these fields within all Requests, including updating the existing names, removing fields, or adding different fields.
