Manage Workflow Type & Subtype

In Elements, use Workflow Type and Subtype to quickly categorize the business processes a specific Workflow record is associated with.  You can use the Workflow Type and Workflow Subtype fields in List Views, Reporting, and Dashboards for reporting, creating a summary of open, in-progress, or completed Workflows based on each Workflow Type. 

 

Workflow Types and Workflow Subtypes provide immediate context for the Workflow. This helps users quickly understand what type of business process they are working on. In this example, the Workflow Type is an Account Opening and the Subtype indicates that it is for a Brokerage account. These fields are copied from the Workflow Template by the Workflow Launcher. However, users can update these fields after the Launcher is created. Both fields are picklists that allow users to choose from a predefined list of options. System Administrators can customize the options available to meet your firm's needs.

  • Account Profile Update
  • Advisor Onboarding
  • Asset Transfer
  • Client Termination
  • Contact Information Update
  • Deposit
  • Financial Plan Update
  • Investment Profile Update
  • Rebalance client Portfolio
  • Withdrawal

 

Available Workflow Subtypes:

  • Brokerage
  • Brokerage - Trust
  • Checking
  • Household
  • Institutional
  • Retirement - ROTH IRA
  • Retirement - Traditional/Rollover IRA

Select a Type and Subtype on a Workflow Launcher

Creating a Workflow Launcher copies the Workflow Type and Subtype specified in the Workflow Template. However, users also have the flexibility to change the Type and Subtype on the fly for a specific Workflow they're creating. If changes are needed, we recommend the user make the updates on the Workflow Launcher before activating it, kicking off the Workflow. 

In this example, a new Workflow Launcher is created and no changes are made to the Workflow Type or Subtype. When opening the saved Workflow Launcher, the settings from the Workflow Template for the Workflow Type and Subtype copy into the Workflow Launcher and the subsequent Workflow record. 

However, there may be scenarios where the user may want to update the Workflow Type and Subtype. This can be done on the Workflow Launcher after the initial creation, or later edited on the Workflow.

In this example, the Workflow is a New Account Opening for a trust account, so the user can change the Subtype to indicate this. First, create the new Launcher which copies all Workflow Template data, then open the Workflow Launcher and make any updates. 


Use Workflow Types and Subtypes for Reporting

List Views

The simplest way to gather data on your Workflows is through a List View. Under the Workflows tab, we have several pre-created List Views including In Progress Workflows and Workflows Due This Week. Here, using the List View Controls, you can add the Workflow Type and Subtype fields to a List View for quick and easy categorization.

Reports

Another option for Workflow data review is found under Reports. We have included several prebuilt Workflow Reports including In Progress Workflows by Type.

Dashboards

This information can also be visualized through the Workflows - Overview Dashboard that is available within Elements. You can also create your own Dashboard from Reports available or that you have created to capture the Workflow Manager information that's important to you.


Edit Workflow Type and Subtype on a Workflow Template

System Administrators with the Salentica Elements Configuration and Salentica Elements Workflow Manager Administrator Permission Sets can edit the Workflow Type and Subtype on the Workflow Template. These Workflow Type and Subtype will then copy from the Workflow Template to the Workflow via the Workflow Launcher. Users can change the fields after the Launcher is created as needed.

1. From the App Selector, select Elements Configuration.

2. Select More and Workflow Templates.

3. Select the Workflow Template Name you wish to edit.

4. Click the pencil icon next to the Workflow Type or Subtype field to edit.

5. Select the desired option from the picklist and Save.

This will change the Workflow Type and/or Subtype on Workflows copied from the Workflow Template after the update. 


Edit Workflow Type and Subtype Options

As a System Administrator, you can edit the picklist options for Workflow Type and Subtype. Updating the picklist options in Setup will change the picklist for all related objects that reference the Workflow Type and Subtype, including the Workflow Template, Workflow Launcher, and Workflow.

1. Click the gear icon at the top right.

2. Click Setup.

3. From the Home tab, type Picklist Value Sets in the Quick Find search bar.

4. Select Picklist Value Sets.

5. Click the name of either Workflow Type or Workflow Subtype to edit the picklist values.

6 Under the Values section you can create a new value, delete or deactivate a value, and reorder or replace values.

These changes will update all Workflow Manager objects at one time.
